# Not ready to invoice? Do not use skip as a holding list

Keep an unresolved cleaning job out of the invoice selection, assign the follow-up and distinguish a temporary delay from a deliberate decision not to invoice.

One cleaning job needs clarification before accounts can invoice it. The other jobs are ready. Skipping the uncertain line may sound like a convenient way to deal with it later, but that is not what the skip-invoicing action means in JobLog24. Use that action only when the work no longer needs to be invoiced administratively. When the decision is still open, leave the line unselected and give someone responsibility for resolving the question.

## 1. Name the unresolved question

Open the underlying work order and check its site, date, number and pricing agreement. Identify exactly what accounts needs to know. Was additional cleaning requested? Does the quantity match the agreed work? Is this visit covered by a different arrangement? A precise question gives the next person a useful starting point.

Separate evidence about the work from the commercial decision. The cleaner can explain what they did and the time it took. The person responsible for the customer agreement decides what should be charged. Do not ask an employee to settle a pricing question simply because accounts needs to clear a line.

## 2. Leave the line outside the selection

In Office, open the job-invoicing section under Invoicing. Choose the period and employee selection, then retrieve the jobs available for invoicing. Review the service, fixed price or hourly rate, quantity, description, VAT and total. Approve only the lines you intend to process.

Leave the unresolved line unselected. The skip-invoicing action is for work that has deliberately been judged not to need invoicing any more; it is not a temporary holding list. Before processing, review the actual selection, especially if you previously selected several lines together. A decision about one job should not accidentally change the treatment of the others.

## 3. Assign follow-up outside the selection screen

An unselected line does not explain who owns the question or when they should return to it. Create a task in the relevant site or work-order context. Include a subject, description, responsible person, due date and status. Put the work-order number and the missing decision in the description.

Agree a review date that fits your invoicing routine. Treat it as an operating arrangement, rather than assuming an automatic reminder will manage the work. If you contact the customer, record the conversation and its outcome. Selecting Email as a contact-record method records communication; it does not send the message. Send the question through your agreed channel.

## Example: an additional room needs clarification

In this fictional example, a cleaner has cleaned an additional room at an office site. Accounts wants to check the job because the agreement covering that extra work is unclear. The remaining jobs for the week have already been checked and can be processed.

Accounts leaves the uncertain job unselected and processes only the reviewed lines. The planner receives a task to check the work description and customer agreement. Once the answer is available, the responsible person records the decision. If a correction is needed, they use the available correction action and check its effect on time records and invoicing before approving the invoice line.

## 4. Review the resulting draft

After processing, open the invoice overview and check the created drafts, references and source work orders. JobLog24 groups selected job lines by site. Check the individual lines that reached the draft, rather than relying only on the total. That gives you a clear record of what was included while the other question remained open.

The product image shows an invoice detail with its site, status, line and amounts. This is the review after selection, not a screen for parking an unresolved job. When you process the deferred work later, check its source link and resulting draft again before moving on.

## 5. Close the task after checking the outcome

At the agreed review point, find the unresolved job using the appropriate period and employee selection. Check its current status. If it is missing from the expected selection, investigate what has already been processed. Do not create another work order merely to make a new invoice line appear.

Payroll approval and invoice approval are separate decisions. Archiving a draft also does not automatically release its source work for invoicing again. If someone used the wrong action, record the work-order number and what happened, then have the responsible person check the status and source links. Close the follow-up task only after both the decision and its processing have been verified.

## Takeaway

If the decision is still open, leave the invoice line unselected and assign the follow-up. Use skip invoicing only for a deliberate decision that the work no longer needs invoicing. Check the draft and its source work order afterwards.

### Can I use skip invoicing to leave a decision until next month?

No. Leave the line unselected and create a follow-up task. When you return, check the selection period, current work-order status and any earlier processing.

### Do approved payroll hours also approve the customer invoice?

No. Approved payroll hours and the quantity billed to the customer can differ. Time approval and invoice approval require separate checks.

### What if someone has already skipped the line by mistake?

Do not create a replacement job to work around the action. Record the work-order number and the action taken, then have the responsible person check its current status and source links. Do not assume an automatic undo route.
