# Room still occupied? Record the cleaning work left unfinished

When a meeting room stays occupied, record completed and outstanding cleaning separately. Agree who arranges the next step and check the job record and hours.

You have cleaned most of the office, but a meeting is still running in the last room. Your scheduled visit is nearly over. Marking the whole site as done hides the unfinished work. Reporting that nothing could be cleaned loses the work you have already completed. Give the office a precise account: what is finished, what remains and what decision is needed. That makes the handover useful to the planner, the client and the next cleaner.

## 1. Check the agreed work before changing the visit

Open the correct work order and read its task instructions. Confirm that the occupied room is part of this visit and identify the work due there. Check any site agreement about cleaning rooms while they are in use. A request from someone in the room does not necessarily replace the agreed service instructions.

If other agreed work can continue, follow the site's arrangements for changing the order of tasks. Do not silently extend your visit or delay your next job. Contact the planner or the agreed site contact when the room's availability affects the schedule. A note is useful evidence, but an urgent decision needs the agreed direct contact route.

## 2. Separate completed work from outstanding work

Record the room, the time you found it occupied and the specific cleaning tasks that remain. Also state which areas have been completed. Avoid a broad entry such as site not finished when only one room is affected. The next person should be able to identify the remaining work without reconstructing your entire visit.

Use the employee app's logbook for the relevant work order and check that the entry has saved. The office can review notes in the site or work-order context. The product image shows the logbook overview, including a subject, category and creation details. It is not an automatic room-completion checklist, so the wording of your note matters.

A photograph is optional. Use one only when it adds useful information; an occupied-room note will often explain the problem adequately. Uploading a photo requires an internet connection. Saving either a photo or a note does not confirm that someone has accepted responsibility for following it up.

## 3. Agree an outcome and give the follow-up an owner

The planner and client need to decide whether the room can be cleaned later in the same visit, at another agreed time, or omitted on this occasion. Record the actual decision, who agreed it and when. Do not promise a return visit before the time and staffing have been confirmed.

Where action remains, create a separate Office task with a responsible person, due date and status. Include a clear reference to the site, original visit and room. This gives the office something to follow up. It does not itself schedule a cleaning visit. If another visit is required, the planner must arrange that work and check the assigned employee's schedule.

Keep the remaining scope narrow. If only the meeting-room floor and bins need attention, say so. Otherwise a replacement cleaner may repeat the whole site routine or assume the room needs work that was never part of the original agreement.

## 4. Check time recording and completion separately

Stopping the timer ends the current time block. Choosing to continue later keeps the work order available to resume; completing the work closes the work order. Do not choose completion simply because the planned end time has arrived when work remains. Tell the office what happened and agree how the partial visit should be handled.

Closing the app does not stop a running timer. Record what actually happened and let the office review the hours. Recorded time, approved payroll hours and client charges are separate decisions. An occupied room does not by itself establish a deduction, an extra charge or a particular amount of waiting time.

## Example: a meeting runs past the cleaning slot

Illustrative example: a cleaner is booked from 17:00 to 19:00. At 18:20, meeting room B is still in use. The corridor and washrooms have been cleaned; the meeting-room floor and bins have not. The cleaner contacts the planner and records those completed and outstanding tasks against the visit.

The client agrees with the planner that the meeting room will be cleaned the following morning. The office records the agreement, assigns the follow-up and schedules the work. Before travelling, the next cleaner checks the work order and access arrangements. After the visit, the actual result is recorded. These times illustrate a handover; they are not a standard waiting allowance or a rule about pay.

## 5. Close the follow-up when the outcome is known

Check that the remaining work was carried out or explicitly omitted by agreement before treating the follow-up as complete. A booked visit is only a plan. Keep the original explanation and the later outcome easy to find at the site so that a client query can be answered from the records.

If the same room is repeatedly unavailable, review the cleaning time or instructions with the client. Change the recurring arrangement only when that wider change is intended. One occupied room on one evening should not silently alter every future visit.

## Takeaway

Record what was cleaned, what remains and who will arrange the next step. Use the logbook for the explanation, a task for follow-up responsibility and the schedule for any agreed return visit.

### Does a saved logbook entry assign the follow-up?

No. A note records the situation. Create a separate task with an owner, due date and status when action is required, and make the original visit easy to identify.

### Will the task automatically book a return visit?

No. Check the required work in the planning view and in the assigned employee's schedule. A note or follow-up task is not confirmation that a visit has been arranged.

### Should I report the entire site as not cleaned?

Describe the completed areas and the outstanding tasks separately. That gives the office a usable record of the partial visit and a clear scope for any follow-up.
