# Supplies delivered, but the invoice will not create: what should you check?

Review the original supply request, selling prices and product VAT links before creating an invoice. Keep delivery evidence and billing checks connected.

The supplies have reached the site and the delivery has been confirmed, but the office cannot turn the request into an invoice. Start with the existing request and the actual error message. Delivery confirmation records what was handed over; it does not establish that all billing data is complete. In JobLog24, a missing selling price or a missing or invalid product VAT link can block invoice creation.

## 1. Find the original request and read the outcome

Open Supplies in Office and select the request for the correct site. Review the products, quantities, delivery record and history. Note the request reference and the exact message shown. This gives a colleague a clear starting point without creating another request or asking the driver to repeat a delivery confirmation.

The product image shows the requests overview, including the location, creator and status. Its example request is Ready for Delivery, which does not mean the goods have arrived. For your actual request, open the details and check the delivery status and report. If the record differs from what the site received, resolve that with the delivery person before proceeding.

## 2. Check each line for a deliberate selling price

Employees do not select a selling price when submitting a new supply request in the employee app. The office needs to review the price through product selection and record it again where necessary. A familiar catalogue item is not proof that the existing request contains a usable selling price.

Review every line, including the selected item, packaging unit and quantity. Compare the recorded selling price with the agreement for that customer. The purchase price describes what your business pays for the supplies. Do not treat it as the customer price without checking the commercial agreement.

A missing price and a deliberately recorded zero price are different states. Do not enter zero merely to get past a message. First establish whether the supplies are genuinely being provided at no charge, then record that decision. Another administrator should be able to understand the reason without guessing from a blank or zero value.

## 3. Review the VAT link on the relevant product

Each supply invoice line uses the VAT rate associated with its product. A missing or invalid link blocks creation. Check the affected item under Settings → Products and have the person responsible for accounting confirm the appropriate setup. Do not choose an arbitrary rate simply to allow the request to proceed.

Products with different VAT rates can appear on one invoice, so check the lines individually. After correcting the product setup, return to the original request and review the result. A product change is a reason to verify the existing data again; it is not proof that every saved request line is already correct.

## 4. Create one draft from the checked request

Once the site, delivery, quantities, selling prices and product data are correct, use the action to convert the request into an invoice. Enter a recognisable invoice description and confirm. Wait for the result, then check the invoice number, source request link, line items, VAT and total.

If no clear confirmation appears, inspect the invoice overview and request status before trying again. Do not create an unrelated second invoice because the first screen was inconclusive. Correct a definite rejection using its stated cause. For an unknown outcome, ask the office or administrator to establish whether a draft already exists.

## Example: the delivery is complete, but a price is missing

Consider this fictional example. An employee requests two boxes of paper towels. Both boxes arrive and the delivery person confirms the handover. During billing, the office finds that the request line has no selling price. Asking the employee to confirm delivery again would not supply that missing information.

The office checks the agreed price through product selection and records it. It then reviews the quantity, product link and VAT before creating the draft from the same request. The delivery record establishes the operational outcome. The office remains responsible for deciding what the invoice should contain.

## 5. Treat creation, sending and payment as separate checks

A draft in the invoice overview does not prove that the customer has received an invoice or paid it. Review the draft before using a configured and checked sending or accounting transfer route. An Exact transfer is intended to prepare a draft in the accounting system, where final processing and sending take place.

If the request cannot yet be resolved, assign a follow-up task with an owner, date and the missing information. Keep the reference to the original request. Use the supplies solution below for the request and delivery workflow, and the invoicing solution for the checks that follow.

## Takeaway

Keep the original request as your starting point. Check delivery, quantity, selling price and the product VAT link separately, then verify one draft invoice and its source link before moving on to sending.

### Should the employee enter a selling price?

No. Employees do not choose a selling price in a new employee-app request. The office checks and records it through product selection.

### Does a missing price mean the supplies are free?

No. A zero price should reflect a deliberate agreement to provide the supplies without charge. It is not a substitute for an unknown price.

### Should I create a new request after an error?

Start with the original request and the error message. Establish whether a draft already exists and correct the specific cause. A replacement request may lose the connection to the original delivery.
