Ending a cleaning contract: check the schedule and billing

Close a cleaning service agreement carefully. Check the final visit, future jobs, recurring billing periods and outstanding work in JobLog24.

A client has confirmed that a cleaning service will end. Removing the next visit from the schedule can look like the job is done, while recurring billing continues. The opposite can happen too: billing ends but an employee still expects to attend. Use a shared handover between the planner and the administrator. This guide covers the operational handling of an agreed end date, rather than notice periods or legal termination requirements.

Identify the service that is ending

Write down the client, site, relevant project and agreed final cleaning date. Include who confirmed the arrangement with the client. A client may have several sites, and a site may have separate agreements for daily cleaning and window cleaning. Closing one service must not accidentally close the other.

Record the final visit date and the end of the billing period separately. They answer different questions. If the agreement is unclear, ask the person responsible to clarify it with the client before making changes. Do not leave the cleaner and the administrator to interpret an ambiguous note independently.

End the recurring work arrangement

In JobLog24, open the relevant project or schedule template. Check the intended final visit and use the available end date or termination action. Read the confirmation before saving. Deactivating a project can affect its templates and future work that has not yet started.

Skipping a visit is useful for a one-off exception. It is not a substitute for ending a recurring arrangement. Keep completed jobs and their history: they may still be needed to answer questions about attendance, recorded time or an invoice. Clearing the screen should never be the reason to remove the record.

Look beyond the current week

After saving, inspect the schedule by site and by employee. Check the final intended visit, the next normal occurrence and another date further ahead. Include visits that were previously moved. A schedule that looks correct this week may still contain a later exception that needs attention.

Ask the employee to check their own schedule while connected and explain which visit will be the last. An old work order loaded offline does not confirm the current plan. If unexpected work remains after the end date, identify the arrangement behind it before changing it. Another service at the same address may still be required.

Review recurring billing on its own

The administrator should check the project’s recurring billing agreement, dates, interval and final billing period. The work schedule and the billing arrangement are separate. A corrected schedule therefore does not prove that the financial side has been closed.

Open the recurring billing selection and compare the available periods with those already processed and with the client’s confirmed agreement. Review any adjustment to the final period separately; do not assume an automatic calculation. The product image shows the billing selection as a review point, rather than an automated contract-closing process.

Give outstanding items a named owner

Review unfinished jobs, time awaiting approval, additional work and supply requests at the site. Assign each unresolved item to someone who can decide the next step. An extra clean completed before the contract ended may still need administrative processing afterwards.

Leave uncertain invoice lines unselected while they are investigated. Skipping invoicing is not a temporary holding option. Archiving a draft invoice is not a shortcut to starting again either: it does not automatically release the source work for another invoice. Record the outstanding question, the person handling it and the date for a response.

Example: close evening cleaning, retain window cleaning

Fictional example: an office ends its evening cleaning service on 30 November but retains a separate window cleaning visit in December. The planner ends only the evening cleaning arrangement. They check that the last evening visit remains, later evening visits are no longer scheduled and the December window cleaning visit is still present.

The administrator checks the final recurring billing period for the evening cleaning project separately. A floor treatment completed earlier is still awaiting review and receives its own follow-up action. The team then confirms the final attendance instructions with the employee. These dates and services illustrate the process; they are not a customer case study.

Finish with a joint handover check

Before treating the closure as complete, the planner and administrator should agree on five points: the correct site and service, the final visit, no unintended future work, the final billing period and an owner for every outstanding item. Keep the outcome with the site record, using a contact record and follow-up task where appropriate.

The contracts and renewals solution explains recurring agreements. Use scheduling for the visit checks, and the product tour to see how the office and employees work together. The records support a clear handover; checking that the outcome matches the client’s agreement remains a responsibility of the people handling the closure.

Common questions

Can I just skip the next cleaning visit?

Skipping applies to a single occurrence. For a permanent end, check the relevant recurring arrangement and its end date or termination action, then inspect future visits.

Does stopping the schedule also close recurring billing?

Check billing separately. Review the project’s billing arrangement and final period rather than using an empty schedule as evidence that billing has ended.

What happens to work still awaiting administration?

Keep the work order and assign the remaining review or processing. Leave uncertain billing lines unselected until the responsible person has resolved the question.
